Admin Assistant, AI Automation – Workflows

Job Description:

  • Review and document current business workflows and operational processes
  • Identify repetitive tasks and automation opportunities
  • Design, build, test, and maintain automated workflows using Monday.com, Zapier, and other platforms
  • Create integrations between software applications
  • Develop automated notifications, task assignments, project tracking systems, and reporting processes
  • Evaluate existing systems and recommend productivity and accuracy improvements
  • Assist with AI-powered tools and workflow enhancements
  • Provide day-to-day administrative assistance across business functions
  • Maintain company records, databases, and documentation
  • Assist with project administration, scheduling, and task coordination
  • Manage spreadsheets, reports, and operational data
  • Support communication and coordination between internal teams and external stakeholders
  • Prepare reports, trackers, and dashboards for business decision-making
  • Assist with general office administration and ad hoc tasks
  • Develop SOPs and process documentation
  • Train and support team members on new systems and processes
  • Monitor workflow performance and troubleshoot issues
  • Recommend technology solutions supporting business growth and operational efficiency

Requirements:

  • Minimum 3 years of experience in an administrative, operations, systems, or automation-focused role
  • Strong hands-on experience with Monday.com (highly preferred)
  • Experience building automations and integrations using Zapier
  • Advanced proficiency in Microsoft Excel and/or Google Sheets
  • Strong understanding of workflow mapping, process improvement, and operational efficiency
  • Experience creating and maintaining business systems, dashboards, and automated processes
  • Excellent organizational skills with strong attention to detail
  • Strong analytical and problem-solving abilities
  • Excellent written and verbal English communication skills
  • Ability to manage multiple priorities and work independently in a remote environment
  • Proactive mindset with a passion for technology, automation, and continuous improvement
  • Previous construction industry experience is preferred
  • Experience supporting construction project administration or operational teams is preferred
  • Familiarity with AI-powered productivity and automation tools is preferred
  • Experience with CRM platforms and project management systems is preferred
  • Knowledge of workflow documentation and SOP creation is preferred
  • Experience integrating multiple business applications and software platforms is preferred
  • Understanding of reporting, business analytics, and operational KPIs is preferred
  • Ability to interpret or understand architectural drawings, plans, and construction documentation is preferred
  • Must disclose any existing ongoing roles or client work
