Client Operations Support

Overview:

We are seeking a highly organized and detail-oriented

Client Operations Support Associate

to provide administrative and operational support to our Client Operations team. This role is critical in ensuring the accurate preparation, review, and processing of client account documentation while maintaining exceptional service standards and operational efficiency.

Key Responsibilities: Provide administrative support to the Client Operations team through accurate preparation and management of client paperwork. Prepare new account opening documentation for both new and existing clients across custodians, including

Schwab, Fidelity, and Pershing . Prepare subscription, redemption, and transfer documentation for

Western Alternative Strategies

investments. Assist with money movement requests and other account maintenance forms as needed, particularly during team member absences. Review custodial paperwork to ensure accuracy, completeness, and compliance with established requirements. Maintain familiarity with Schwab, Fidelity, and Pershing forms, processes, and documentation standards. Upload and organize client-related documents in

Addepar , including: Monthly account statements Tax documents received from custodians K-1s for Western Alternative Strategies and other private investments Collaborate with internal teams to support operational processes and ensure timely completion of client requests. Identify and resolve documentation or process-related issues proactively and efficiently.

Qualifications & Skills:

Prior experience working with

Schwab, Fidelity, and Pershing

platforms, forms, and account processes is required. Strong administrative, documentation, and organizational skills. Exceptional attention to detail with a commitment to accuracy and quality. Ability to manage multiple priorities, deadlines, and competing demands in a fast-paced environment. Proficiency with technology and the ability to quickly learn new systems and processes. Strong problem-solving and analytical skills. Excellent verbal and written communication skills. Professional, proactive, and client-focused approach. Reliable, driven, and highly organized with the ability to work independently. Positive attitude, strong interpersonal skills, and a collaborative mindset. Ability to remain calm and effective while handling high-volume workloads and time-sensitive requests. Must be willing to work night shift schedules (US hours) and during PH Holidays. Must be able to work at Alabang, Muntinlupa when work in the office resumes (temp WFH).
