Profile Requirements:
- Construction Industry Experience: 2 years for Junior, 2-5 for Intermediate, 5+ years for Senior - of experience as an Executive Assistant, Project Coordinator, Office Manager, or Administrative Assistant supporting a general contractor, construction company, or related trade services business.
- Strong Organizational Skills: Excellent time management, multitasking, and prioritization abilities with the capacity to manage multiple projects and shifting deadlines in a fast-paced environment.
- Technical Proficiency: Experience using Microsoft Office Suite, Google Workspace, Excel, project management software (Buildertrend, JobTread, Procore, or similar), QuickBooks, and CRM systems.
- Communication & Professionalism: Outstanding written and verbal communication skills with the ability to interact professionally with clients, subcontractors, vendors, inspectors, and internal team members.
- Attention to Detail & Problem Solving: Highly organized, proactive, resourceful, and capable of working independently while maintaining confidentiality and ensuring accuracy across administrative and project-related tasks.
- Comfortable using AI tools to improve efficiency, support administrative workflows, assist with documentation, and streamline day-to-day tasks.
- Executive & Administrative Support: Manage the general contractor's calendar, schedule appointments, coordinate meetings, prioritize daily tasks, and handle email correspondence to keep operations organized and efficient.
- Project Coordination: Assist with tracking construction projects, maintaining project documentation, monitoring deadlines, coordinating with subcontractors, vendors, and clients, and ensuring timely follow-ups.
- Client & Vendor Communication: Serve as a professional point of contact for homeowners, commercial clients, suppliers, subcontractors, and inspectors by answering inquiries, scheduling site visits, and providing project updates.
- Estimate & Contract Administration: Prepare proposals, estimates, contracts, change orders, invoices, and other project-related documents while maintaining organized digital and physical filing systems.
- Scheduling & Operations Management: Coordinate project schedules, permits, inspections, material deliveries, equipment rentals, and subcontractor availability to support smooth project execution.
- Bookkeeping & Office Support: Assist with invoice processing, expense tracking, purchase orders, payroll coordination, accounts receivable follow-ups, and maintaining accurate business records.
- Process Improvement: Develop and improve administrative workflows, implement organizational systems, maintain CRM and project management platforms, and identify opportunities to increase operational efficiency.
- General Business Support: Handle special projects, conduct research, order office and job site supplies, maintain company records, and provide proactive support to help the owner focus on business growth.
