Title: Independent Contractor – CPT-11157 Construction Administrative & Project Support Virtual Assistant/Business Support/Junior-Senior Level (Remote).

Overview

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

A growing Residential General Contracting company is seeking a detail-oriented and proactive Construction Virtual Assistant to provide administrative support, project coordination, compliance tracking, and customer support.

The ideal candidate will serve as a front-desk and project support professional, helping manage compliance documentation, project-related paperwork, customer communications, invoice processing, and basic lead follow-up activities. This role will also provide support with social media content updates and project progress postings.

The ideal candidate is highly organized, eager to learn, comfortable working within construction-related systems, and has previous experience using construction project management or CRM platforms such as JobTread or similar software.

The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.

Scope of Services

Contractors will be required to provide services that align with the following client tasks:

Compliance Tracking & Documentation Management

  • Collect and maintain Certificates of Insurance (COIs).
  • Request, collect, and organize W-9 forms from vendors and subcontractors.
  • Track compliance requirements and ensure documentation remains current.
  • Maintain organized digital records and project files.

Project Administration Support

  • Draft and prepare change order documents.
  • Assist with project-related administrative tasks.
  • Upload and organize project documents within company systems.
  • Support project managers with documentation and file management.
  • Maintain accurate records and project information.

Invoice Processing & Data Entry

  • Collect invoices from vendors, subcontractors, and suppliers.
  • Upload invoices into the company systems.
  • Assist with invoice tracking and documentation.
  • Ensure data accuracy and completeness.
  • Support billing-related administrative tasks.

Client Communication & Front Desk Support

  • Monitor and respond to client emails.
  • Assist with customer inquiries and follow-up communications.
  • Provide professional front-desk style support and customer service.
  • Route inquiries to appropriate team members.
  • Maintain professional communication with clients and vendors.

Lead Follow-Up & Administrative Support

  • Conduct basic lead follow-up calls as directed.
  • Maintain records of lead communications.
  • Assist with scheduling and coordination activities.
  • Support general office and administrative functions.

Social Media & Marketing Support

  • Assist with social media posting and content scheduling.
  • Upload project progress photos and updates.
  • Help maintain the company's online presence.
  • Support basic marketing and brand visibility initiatives.

CRM & System Management

  • Maintain project and client information within CRM and project management systems.
  • Update records, tasks, and project statuses.
  • Assist with workflow organization and project tracking.
  • Utilize JobTread or similar construction management software.

Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.


Skills

The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:

  • Previous administrative support experience required.
  • Strong organizational and documentation skills.
  • Excellent written and verbal English communication skills.
  • Ability to manage multiple tasks and priorities.
  • Detail-oriented with strong follow-through.
  • Comfortable handling client communications via email and phone.
  • Ability to learn new systems and processes quickly.
  • Proficiency with Microsoft Office and Google Workspace.
  • Strong data entry and file management skills.

PREFERRED QUALIFICATIONS

  • Previous experience working in the construction industry.

  • Experience with compliance tracking, COIs, and contractor documentation.

  • Experience with change orders, invoicing, and project administration.

  • Familiarity with JobTread or similar construction management software.

  • Experience supporting general contractors, builders, or construction firms.

  • Basic social media management experience.

  • Experience working with remote teams.

Terms of Engagement

  • Contractors will operate under a Master Services Agreement and a Statement of Work
  • This is not an offer of employment; contractors are not employees of 20four7VA or any client
  • All compensation is processed through 20four7VA according to the terms of the engagement
