HR Assistant with focus on invoicing and onboarding

Scope of Work Summary

The HR Assistant plays a key operational role in supporting the financial and HR functions that drive the success of the agency. This position has primary responsibility for billing, invoicing, accounts receivable, payroll processing, and core HR administration, including onboarding and completion of employee and candidate files.

Under the direction of the HR Manager, the HR Assistant supports the long-term, temporary, staffing, and recruiting teams by ensuring accurate financial transactions, timely collections, compliant payroll, and thorough onboarding documentation.

There is 1 opening. This is all Eastern Time (New York): Monday - Friday: 7am - 3:30pm

These hours may get slightly shifted by 60 minutes earlier or later.

Specific training on our HR Assistant processes will be provided.

Training is paid, though the schedule may vary for training.

We give Time Away and annual engagement raises.

Key Responsibilities

Coordinate and track all new hires through the full onboarding and orientation process

Complete and audit new hire files to ensure all required documentation is accurate and complete

Manage onboarding checklists in KEAP and follow up on outstanding items

Initiate, monitor, and reconcile background checks and related billing

Proactively follow up with candidates and new hires to ensure timely receipt of all required documents

Create and process all direct and corporate invoices; cross-train as backup for invoicing functions

Record and reconcile payments for direct placements and services

Compile, review, and submit reimbursement requests

Maintain clear and precise documentation in company database software

Perform ongoing database management in EngineHire and KEAP to ensure data accuracy and completeness

Provide administrative and project support to the HR Manager as needed

Cross-train to provide coverage during team member absences

Uphold and model the company’s mission, values, and service standards

Duration: More than 6 months More than 30 hours per week Hourly Range: $7.50 - $8.00
