Logistics and Operations Coordinator

Key Areas of Responsibilities: *1. Preparation of Sales proposal* a. Receive transport inquiries and prepare quotations based on customer requirements and the approved quotation matrix. b. Send approved quotations to customers and address inquiries or clarifications. *2. Organize Booking Schedule* a. Encode and record the confirmed sales orders in the booking schedule google worksheet and MTEC System. *3. Process Billing of Sales* a. Consolidate delivery receipts and other supporting documents for completed transport transactions. b. Prepare sales invoices and billing statements, ensuring completeness and accuracy of supporting documents. c. Verify customer credit arrangements and send billing documents to customers on a timely basis. *4. Payroll Processing:* Responsible for payroll processing of drivers and helpers while applying the policies and procedures in the timely handling as follows: a. Check, verify, organize, and expedite the information to process the payroll: I. Names Ii. Transport rates Iii. Transport schedules and locations Iv. Dates, time period, and liquidation report. b. Check for any additional advice by management about the drivers. c. Prepare, submit for approval and release payroll with payslips. d. Record the payroll worksheet for the set period. 5. Accreditation Management a. Process, monitor, and renew the accreditation of MTEC trucks with the Philippine Port Authority (PPA) and other relevant regulatory agencies. b. Process and renew company and truck accreditations required by clients, ensuring timely submission of complete documentary requirements. --- *Note:* *This position is advertised externally as Logistics Operations Coordinator to better reflect its responsibilities and align with industry job titles. Upon hiring, the official company designation will be Sales & Operations Staff.* --- Qualifications - Bachelor's degree in Business Administration, Logistics and Supply Chain Management, Industrial Engineering, Marketing, Office Administration, or any related field. - At least one (1) to two (2) years of experience in logistics, transport operations, sales coordination, operations coordination, billing, customer service, or a related administrative role. Fresh graduates with relevant internship experience may also be considered. - Experience in the trucking, freight forwarding, shipping, courier, distribution, or logistics industry is an advantage. - Proficient in Microsoft Office applications, particularly Microsoft Excel, Word, and Outlook. Experience using Google Workspace and ERP or transport management systems is an advantage. - Strong organizational and time management skills with the ability to handle multiple tasks and meet deadlines. - Excellent communication and interpersonal skills with the ability to coordinate effectively with customers, drivers, operations personnel, and other departments. - Strong analytical and problem-solving skills with keen attention to detail and accuracy. - Able to prepare quotations, maintain operational records, monitor transport schedules, and process billing and payroll-related documents. - Capable of working independently and collaboratively in a fast-paced logistics and transport environment. - Displays integrity, professionalism, customer focus, and a high level of confidentiality when handling company records and financial documents. \_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_ Office Location: Three Joroma Place, 652-C Congressional Ave. Ext.
