Marketing Coordinator & Administrator (US Client - Remote)

You will be required to assist in all aspects of marketing coordination, franchisee support, marketing administration, and operational coordination, which may at times extend beyond the duties listed below.

Managing the day-to-day marketing and administrative functions, including responding to franchisee requests, maintaining branch and marketing information, coordinating online listings, tracking projects and deliverables, managing documentation, and ensuring tasks are completed accurately and on time.

You will work closely with the marketing, development, and operations teams to coordinate requests, maintain accurate records across systems, follow up on outstanding tasks, and support the smooth execution of marketing activities.

Other responsibilities include but are not limited to:

  • Manage and respond to franchisee requests through ticketing and project management systems.
  • Provide marketing assets, templates, links, and other resources to franchisees.
  • Coordinate website, phone number, social media, and online listing updates.
  • Manage Google Business Profile verification, including documentation collection, submissions, and follow-ups.
  • Maintain accurate business information across Google Business Profile, Apple Business Connect, Yelp, Bing Places, and other relevant platforms.
  • Maintain listing, social media, access, and branch information across relevant systems.
  • Keep project management and ticketing systems updated with tasks, deadlines, owners, and status.
  • Coordinate marketing projects and campaigns, including following up with internal teams, franchisees, and vendors to ensure deadlines are met.
  • Review marketing assets, links, and information for accuracy and completeness.
  • Maintain tracking records for franchisee requests, listings, campaigns, compliance, and other marketing activities.
  • Maintain required compliance documentation and follow up on outstanding or expired documents.
  • Maintain branch records, including GST, FDD, launch dates, royalty credits, and other required information.
  • Track launch fee payments and follow up on outstanding amounts.
  • Maintain accurate franchise and branch information across company systems and correct discrepancies.
  • Maintain records of website, social media, listing, and system access.
  • Conduct regular follow-ups on missing reports, outstanding balances, and high-priority tasks, escalating issues when required.
  • Assist with general marketing, administrative, reporting, and coordination tasks as required.
Requirements:
  • 2–3 years' experience in marketing coordination, administration, operations support, or a similar role.
  • Experience using project management or ticketing systems such as HubSpot, Monday.com, Asana, or similar platforms.
  • Strong organisational and time management skills.
  • Excellent written and verbal communication skills.
  • High attention to detail and strong focus on accuracy.
  • Strong follow-up and stakeholder management skills.
  • Ability to manage multiple tasks and competing priorities.
  • Proficiency in Microsoft Office, Google Workspace, spreadsheets, and cloud-based systems.
  • Comfortable working with online listings, social media platforms, and digital systems.
  • Proactive, responsive, and able to work independently.
  • Experience supporting an overseas client, franchise network, or multi-location business is advantageous.
