Spanish-Speaking Personal Injury Legal Assistant / Case Manager (Work from Home)
This is a core case-management role at a California personal injury firm, owning the operational side of cases from signed intake through settlement — keeping clients engaged, treatment progressing, records organized, and files settlement-ready. Bilingual English/Spanish is mandatory.
The role executes within the firm’s systems and does not make legal arguments, evaluate liability, negotiate settlements, or draft formal demands.
Must have Qualifications:
- Fluent spoken and written English and Spanish (mandatory)
- Prior experience at a U.S. personal injury law firm
- Experience with auto, rideshare, pedestrian, motorcycle, truck, slip-and-fall, or wrongful- death files
- Strong understanding of the PI case lifecycle from intake through settlement
- Experience requesting medical records, bills, lien balances, police reports, and insurance information
- Strong phone skills with clients, providers, carriers, and records departments
- Excellent organization, follow-through, task management, and documentation habits
- Comfortable working independently and owning assigned files
- Professional written grammar in English and Spanish
- Available during Pacific Time business hours
- Comfortable with Outlook, Excel, Word, cloud storage, Adobe, e-signatures, and VOIP phone systems
- Filevine experience (strongly preferred)
- RingCentral, Microsoft 365, OneDrive/SharePoint, DocuSign, Adobe Acrobat, or similar systems
- Experience working with lien-based medical providers
- California PI matters: Medi-Cal, Medicare, Kaiser, health insurance, medical liens, and UM/UIM claims
- Preparing demand-support materials, settlement breakdowns, lien-reduction support, and closing packages
- High-volume firm experience where speed and follow-up matter
- Intake & onboarding: Follow up with leads and signed clients by phone, text, email, and WhatsApp; conduct/assist Spanish-language intake; collect case info and documents; open and organize files immediately; send welcome messages and next steps.
- Treatment coordination: Help schedule chiropractic, PT, pain management, imaging, and orthopedic appointments; follow up so clients keep treating; maintain treatment timelines; obtain provider updates; flag treatment gaps or noncompliance early.
- Case management: Request police reports and evidence; send letters of representation; confirm claim, adjuster, policy, coverage, and liability info; request records, billing, liens, and balances; track deadlines and tasks; keep Filevine fully updated; prepare case summaries and settlement packages; assist with releases, disbursement, lien payoff, and file closing.
- Client communication: Be a reliable contact for English- and Spanish-speaking clients; explain updates in plain language without legal advice; keep clients responsive and treating; handle difficult clients professionally; communicate with urgency.
