Virtual Assistant for a Real Estate Company in Australia (Home Based Full Time)

Client Information

The Company encompasses a mix of the client’s personal ventures and real estate business. The client is involved with multiple companies and business interests, with the real estate side still in its early stages and not yet officially operational. The company structure is intended to bring together various ventures while allowing the real estate business to develop and launch separately as it becomes established.

Job Description

  • Manage personal and business calendars, meetings, appointments, reminders and family events to ensure the client's schedule remains organised and up to date.
  • Provide administrative support across the client's personal and real estate activities, including coordinating appointments, follow-ups and day-to-day tasks.
  • Manage personal administration including bills, subscriptions, healthcare refund claims, household purchases, recurring orders and gift arrangements.
  • Research and coordinate flights, accommodation, transport, restaurants, hotels and events according to the client's preferences and budget.
  • Maintain accurate HubSpot CRM information, spreadsheets and digital files, keeping personal, business and real estate information organised and easy to access.
  • Provide basic social media support across Instagram and LinkedIn, including posting approved content and responding to basic comments, messages and enquiries when required.
  • Monitor Instagram and LinkedIn for messages and enquiries, escalating anything requiring the client's input or expertise.
  • Use AI tools such as ChatGPT and Claude to assist with research, drafting communications, organising information and improving day-to-day efficiency.
  • Provide proactive support by managing recurring tasks, preparing draft communications, sending reminders and providing weekly summaries of completed tasks, upcoming items and decisions required.

Must Haves

  • Proven experience as a Virtual Assistant or in a similar administrative or support role.
  • Hands-on experience using HubSpot CRM, including updating records, managing information and maintaining accurate data.
  • Experience using Claude and ChatGPT for research, drafting, administration and improving workflow efficiency.
  • Confident using Microsoft Outlook for email, calendars, appointments and day-to-day communication.
  • Comfortable communicating through WhatsApp, including responding to messages and voice notes.
  • Basic knowledge of Instagram and LinkedIn, including posting content and responding to basic messages and comments.
  • Strong administrative experience with excellent attention to detail and organization.
  • Confident with spreadsheets, data entry and digital file organization.
  • Excellent written English with clear and concise communication skills.
  • Highly organized, proactive and able to work independently.
  • Trustworthy and discreet when handling personal, financial and business information.
  • Comfortable receiving verbal instructions and turning them into completed tasks.

Nice to Haves

  • Previous experience within the Australian real estate industry.
  • Experience using MOVE or similar real estate or property management platforms.
  • Experience supporting a real estate agent, property professional, business owner or founder directly.
  • Familiarity with Australian real estate processes, terminology, businesses and systems.
  • Experience managing property-related administration, appointments, bookings, follow-ups or client communication.
