Virtual Legal Assistant — Remote | Part-Time or Full-Time | US Hours

Warp9 is seeking an experienced Virtual Legal Assistant to provide remote administrative and operational support to US-based lawyers, paralegals, law firms, or legal practitioners.

This is a home-based position for candidates located in the Philippines. Both part-time and full-time arrangements may be available. The assigned schedule will follow US business hours and will generally require evening or overnight work in the Philippines.

Responsibilities:

  • Manage calendars, meetings, appointments, depositions, hearings, and reminders based on instructions from the assigned legal team.
  • Maintain matter records, document folders, trackers, task queues, and status reports.
  • Format, proofread, organize, combine, split, bookmark, compress, and convert documents and PDF files.
  • Prepare routine emails, scheduling messages, status updates, and vendor instructions using approved templates or language.
  • Assist with time-entry follow-ups, approved expense records, and draft billing support.
  • Coordinate approved legal-service vendors and track schedules, requirements, costs, and delivery status.
  • Track assigned tasks, deadlines, dependencies, and required approvals.
  • Escalate unclear instructions, conflicting priorities, potential delays, and matters requiring legal judgment.
  • Protect confidential information and comply with applicable security and client procedures.

The role does not include providing legal advice, independently interpreting legal requirements or deadlines, making legal decisions, or communicating with a law firm’s clients unless specifically authorized within an approved scope.

Qualifications:

  • Bachelor’s degree in Legal Management, Political Science, Business Administration, Office Administration, Communications, or a related field.
  • At least five years of relevant experience in legal administration, legal support, law-firm operations, litigation support, legal operations, or a related professional-services environment.
  • Experience working remotely as a Virtual Legal Assistant or Legal Assistant supporting US-based lawyers, paralegals, law firms, or solo practitioners is a strong advantage.
  • Strong written and spoken English, including the ability to communicate professionally with US-based legal professionals and approved vendors.
  • Proficiency in Microsoft Outlook, Word, Excel, and Adobe Acrobat or similar PDF tools.
  • Strong organizational, prioritization, follow-through, and time-management skills.
  • High attention to detail and the ability to handle confidential information responsibly.
  • Ability to work independently while following established instructions, templates, procedures, and approval requirements.
  • Willingness to work a fixed part-time or full-time schedule during US business hours.
  • A private home workspace suitable for confidential legal-support work.
  • Own reliable, work-ready computer or laptop and the necessary remote-work peripherals.
  • Stable internet connection with a minimum speed of 100 Mbps.
  • Backup internet and power arrangements are strongly preferred.

Pay: Php25,000.00 - Php35,000.00 per month
