Administrative Assistant 2

Duties Description The Administrative Assistant 2 assigned to Employee Relations will report to the Deputy Superintendent – Employee Relations.

DUTIES:

Handle incoming and outgoing correspondence, rerouting, proofreading documents prepared by other sections.

Handle administrative duties in connection with Employee Relations Programs.

Originate correspondence or prepare replies to correspondence as directed by Employee Relations Staff members.

Act as a liaison with sections under direct supervision of Employee Relations as well as with union representatives.

Coordinate internal and interagency meetings consistent with Employee Relations Staff schedules.

Make travel arrangements, including flights and lodging, and prepare travel advances and vouchers.

Perform clerical processing and record maintenance activities utilizing word processing packages, spreadsheets, and database programs.

Track employee organizational leave.

Coordinate promotional ceremonies.

Other duties as assigned by Employee Relations Colonel or designee.


Minimum Qualifications One (1) year permanent service as a New York State employee with one (1) year service in a title allocated SG-11 or higher;

OR

Two years of administrative office experience in which you provided direct support for executive level management.

AND

Must have appropriate clerical skills, knowledge of proper office procedures, including experience with conventional and electronic data filing systems;

AND

Must be proficient in the operation of personal computers and various software including Microsoft Word, Outlook, Access and Excel;

Minimum qualifications must be met by the closing date of the posting.
